Split the manifest by flight

List each arriving flight, local date, passenger names and destination. Flights landing at different times may need separate vehicles or an explicitly agreed wait. Do not assume one group booking creates unlimited airport waiting.

Request a vehicle-specific offer

Provide bags, child seats and mobility equipment. The public calculator deliberately stops above its base passenger bands. Request the actual vehicle capacities rather than multiplying a car fare to infer a minibus price.

Set event arrival deadlines

Give the required hotel or venue arrival time and loading plan. Conferences and weddings need contingency for luggage, airport processing and city traffic. Agree a lead traveler and backup contact.

Confirm every return

Group members may leave on different flights or from different hotels. Make each return leg explicit with a local pickup time and the provider’s complete fare and cancellation terms.
